Free Carpool Schedule Template and Sign-Up Sheet | Carpool-Q

Free carpool schedule template

Most carpools start on paper, and that's fine. A schedule on the fridge beats a plan buried in a group text. This one is free and works without any app: download the PDF, print it, and send the file to the other families so every kitchen has the same copy.

What's in it

It prints on US Letter in black and white.

How to run the rotation

  1. Pick the model before the names. Fixed days (you always have Monday) or a rotation (the days move each week). Fixed is easier to remember. Rotating spreads the bad days around.
  2. Use page 2 as a sign-up sheet the first month. Pass it around at pickup and let each family write their initials into the days they'll take, then fill the gaps together. People keep commitments they chose.
  3. Split mornings and afternoons when it helps. The parent who works from home might take every pickup; the commuter takes drop-offs. That's why each day has two rows.
  4. Fill four weeks at once. Sit down once a month, not every Sunday.
  5. Cross off the days with no school before anyone signs up: holidays, early release, conference days.
  6. Write down the back-out rule. When someone can't drive, do they find their own swap, or does the group cover? Put the answer in the "What we agreed" box so nobody argues it at 7am.
  7. Tape the phone list where the kids can see it.

For the harder question, how to make the split feel fair when one family has three kids and another lives off the route, read How to Split Driving Duties Fairly.

Where paper runs out

A printed schedule doesn't change when the plan does. Thursday's driver swaps with Friday's, and now the fridge copy is wrong in two kitchens and nobody gets a reminder.

Carpool-Q keeps this same schedule on every family's phone, updated for everyone at once. It reminds the driver 30 minutes before, and it warns the whole group when tomorrow has no driver. You still decide who drives; the app makes sure they remember. 14 days free, then $1.99 a month per family.

Questions

Should a carpool rotate weekly or use fixed days?

Fixed days are easier to remember and let parents plan work around them. A weekly rotation is fairer when some days are harder than others, like Monday mornings. A common middle ground: fixed days, with the fifth day rotating.

How many families should share a carpool schedule?

Three or four. With four families on a five-day week, each parent drives about one day instead of five, and the group is still small enough to agree on changes.

How far ahead should we fill in the schedule?

Four weeks is a good rhythm. It's far enough ahead that parents can plan around it and close enough that the plan is still true when the day comes.

How do I make a carpool sign-up sheet?

Print page 2 of the template, the four-week rotation, and pass it around at pickup or the first practice. Each parent writes their initials into the days they can drive. Give it a deadline, then fill the gaps together.

Can I use the template without the app?

Yes. The PDF works on its own, and you don't need an account to download it.
